Data Protection for Email

One of the responsibilities of the Information Security Office is to protect the confidentiality of student, faculty and staff information.  We recognize that in conducting University business, sensitive information is sometimes sent through e-mail.  When sending e-mail that contains sensitive information, whether internally to Barry colleagues or externally to Barry recipients, one of two types of encryption should be used.   Instructions in our knowledgebase articles provide guidance on the following:

Examples of use cases for encryption may include:

  • Transmitting usernames and/or passwords
  • Sending transcripts or contracts

  • Transmitting anything that contains personally identifiable information that can be used for fraud or identity theft such as Social Security number, credit cards, date of birth, personal addresses and phone numbers. Such information should not be transmitted in e-mail in most cases, but in the event it needs to be, it should be of absolute necessity.

Everyone in the University plays a part in keeping student, faculty and staff information safe.  As such, please be mindful of the content included in e-mail and use the appropriate method for encrypting it should it contain sensitive information.  As always, please contact the IT Support Desk at (305) 899-3604 if you need assistance in doing so.
